Viewing your Email in Outlook Express

Deleting Mail

For mail to be permanently deleted from Gmail it must be moved to and then removed from the 'Bin' folder. Mail not removed in this way will remain in the 'All mail' folder. Outlook Express does not allow you to change the folder to which deleted mail is moved and therefore to ensure mail is deleted permanently you will need to manually drag it to the 'Bin' folder.

Address Format

To configure Outlook Express you will need to provide your full Sheffield email address. Do not use the abbreviated @shef.ac.uk format.

Configure Outlook Express

  1. In Outlook Express, click the Tools menu and select 'Accounts'.
  2. Click the 'Add button' and select 'Mail'.
  3. On the first screen provide your name.
  4. On the second screen provide your full email address and click Next.
  5. On the third screen select IMAP, specify the incoming server imap.gmail.com specify the outgoing server smtp.gmail.com then click Next.
  6. On the fourth screen, in Account Name enter your username followed by @sheffield.ac.uk and provide your password in the field below then click Next.
  7. On the fifth screen, click Finish.

Security Settings

Next you need to set the correct security settings.

  1. Your mail account will be listed in the dialogue box, select it and click Properties.
  2. Click the Servers tab.
  3. Check the 'My server requires authentication' checkbox.
  4. Click the Settings button.
  5. Ensure 'Use same settings as incoming' option is selected.
  6. Click the Advanced tab.
  7. Tick both the Server requires SSL options.
  8. Set Outgoing mail port to 465.
  9. Set Incoming port to 993.
  10. Click the OK button.

You are now ready to send and receive emails in Otlook Express.

Sent Mail

Sent mail will be automatically saved in the "Gmail - Sent Mail" folder.
