Information about the Sales Ordering training course

Profile Sales and Billing (uBASE)
Level

New Sales Orderer (includes both Internal Trade and External Trade sales)

Course also available to existing users requiring a refresher

Course length

The Sales and Billing course is 2.5 hours and you must attend the full course to qualify for the Sales Ordering profile in uBASE

Pre-requisites Please note that this training course has two pre-requisites which you MUST complete before attending the course:
  1. You must have some basic navigational skills on uBASE which should be provided by your departmental colleagues or line manager. uSpace for Basics in Navigation also provides general guidance documentation on using uBASE and understanding how to navigate around the system
  2. You must have some understanding of project finance which should be provided by your departmental colleagues or line manager.

These aspects of using the University's finance systems will NOT be covered in the training course, and you will be asked to confirm that you have completed and understand the pre-requisite material. It is your responsibility to ensure that you have completed the pre-requisites so that you get the most out of the training course.

Course objectives

The course will cover:

  • Understand the relationships between project types and materials
  • Requesting and searching for a customer account number
  • Create a Sales Order
  • Convert a Sales Order to a Billing Document
  • Create a Credit Order
  • Convert a Credit Order to a Billing Document
  • Create a foreign currency Sales Order and Billing Document
  • Find and display a Sales Order or Billing Document and its document flow
  • Understand the Internal Trade process
  • Complete an Internal Trade Sales Order
  • Split code an Internal Trade Sales Order to assign the income to more than one project account
  • Correct and communicate changes on Internal Trade Sales Orders
    Understand the debt collection process
  • Understand the on-line shop
Course information
  • Course format: small groups
  • Duration: 2.5 hours
  • Venue: to be notified (you will receive an email to confirm your place and advise the venue details)
  • Refreshments: drinks provided but not lunch
  • Other requirements for attendance: you will be required to bring at least one live invoice request with you to complete during training as we use the live system. Please ensure you contact us to discuss this invoice request, before training, so we can ensure that all relevant information is available before training commences
  • Training materials: guidance notes to be printed by attendees before training course. Copies of all materials are available in uSpace for Sales Orderers

  • Profile Request Form to be submitted to Finance requesting your profile
    Once your Profile Request Form has been authorised you will receive an email from  sales-finance@sheffield.ac.uk to organise your training and completion of the pre-requisites.
