Guidance on revisions to the Publication Scheme

The Publication Scheme is a living document and will be frequently amended. Its purpose is to provide a guide to information that the University routinely publishes and makes available.
In order for the Publication Scheme to be successful, it must link to content within department websites that is current and available.

By current content we mean information or documents that provide the latest or most recent information on which people can base decisions or make judgments. Providing older or non-current information is acceptable within the Publication Scheme, but it should be explicit that it is older information and that newer information can be sought elsewhere. An example of this may be a department's decision to publish older minutes or annual reports. Information relating to departmental procedures and services should be the most current and up to date available.

By available we mean information referred to in the Publication Scheme that is available over the internet for all to see, not just users of the University of Sheffield network.

Departments are responsible for the addition, deletion and amendment of content as they see fit. However, in certain circumstances the FOI Unit should be made aware when content is either entirely removed from a website or brand new content is added. This should take place if (in the context of removing content) it is referred to within the Publication Scheme, or if (in the context of entirely new content) the department would like it to be added to the Publication Scheme.

Content no longer required

If a department decides to withdraw totally any content that is linked from the Publication Scheme, then the FOI Unit should be notified.

Example

A department closes a particular area of work. It is no longer carried out, but it is referred to within the Publication Scheme. The FOI Unit would need to be informed in order to remove the information from the Publication Scheme.

New Content

The Publication Scheme will have to be updated in order to provide links to new content.

Example

A department takes on an entirely new area of work, separate to all existing areas of work. It sets up web pages detailing this area of work. It would like to publicise this within the FOI Publication Scheme. The FOI Unit would need to be informed in order to update the Publication Scheme.
OR
A department introduces a new policy it would like to publicise. It puts the policy on its website. It would also like to publish it within the Publication Scheme. The FOI unit should be contacted in order to update the Publication Scheme.

Amendments to Content

This is the responsibility of the department. They are responsible for amending content as they see fit. Updates to content will be viewed automatically within the Publication Scheme.
