Will correspondence for applicants not shortlisted be sent out automatically?

In each recruitment case, you can choose to send emails immediately to candidates not shortlisted or they can be delayed for candidates you may want to invite to interview later, if required.

If our department wanted to accept a paper copy application, can I just add it to the list for shortlisting?

No - if you accept a paper copy application before the closing date you can key it into the system on the applicant's behalf and they will be included in the shortlisting. If you accept a paper copy application after the closing date you can't enter this into the system and they will not be included in the shortlisting for panel members. You will not be able to record in e-Recruitment the results of any shortlisting activity that is carried out for that candidate and Human Resources will not issue a contract for a successful candidate if their details have not been processed in e-Recruitment.

Can the Recruiter customise the automatic correspondence to applicants?

email templates are generated for all the automatic correspondence to applicants. The emails for invitation to interview and for candidates unsuccessful at interview have editable sections for the Recruiter to enter the information required.

I know e-Recruitment will provide on-line shortlisting but can we still print the applications out if we want to?

We would like you to shortlist on-line and the system has excellent functionality to support this activity. Shortlisting on-line also means that you are not required to store the paper applications and shortlisting information in your department for six months. If your panel members wish to have paper copies, the applications can be printed out. There is a report in the system that will print the applications and attachments all together.

Human Resources will not print applications or attachments from the e-Recruitment system. If your department wish to have paper copies the printing will take place in your department. You may wish to encourage your panel members to shortlist using the electronic applications in the system, which can be accessed anywhere they have internet access, and then only print the paperwork for the candidates that have been invited to interview.

Panel members may also wish to review the applications electronically from the bulk download pdf file.

During shortlisting, can panel members see each others comments and ranking of applicants? Does the Recruiter have visibility of this?

Yes - panel members and the Recruiter can see the ranking and comments that each panel member has given each applicant during the shortlisting process.

Can a shortlisting panel member add comments for each candidate?

Yes - the e-Recruitment shortlisting functionality is not designed to replace the important verbal discussions between panel members. The system enables individual panel members the opportunity to record their comments on each application safely and without need to maintain paper records. The system shares the comments with all the panel members and aggregrates the ranking. The Recruiter uses this information to invite the shortlisted candidates to interview and notify those that were unsuccessful. When assessing each candidate, panel members can choose an option indicating that the application warrants discussion. These discussions can then take place between the panel and feedback to the Recruiter who will update the system to reflect the final outcome of the shortlisting process.

We currently have to keep all the paperwork for applicants and the shortlisting on file in our department for 6 months after we have recruited, will we still need to do this if we use e-Recruitment?

If your department uses the on-line shortlisting functionality in e-Recruitment you will not be required to keep any paperwork in your department.

Will the system know who should be the mandatory members of our selection panel?

Is the University happy for us to contact applicants by email now?

Yes – you may still choose to send letters outside of e-Recruitment if your department prefers but the University is happy for you to use emails for applicant correspondence. Applicants are asked to confirm their attendance at interviews.

Will e-Recruitment automatically email referees?

No – applicants will be required to provide details of their referees as part of their application, including a contact email address, but the Recruiter will contact the referees outside of the e-Recruitment system.

Do we still need to use Interview Record Sheets and will they be in the system?

You should continue to use Interview Record Sheets but these will not be part of the e-Recruitment system. If your department would like to store them in e-Recruitment to keep all the recruitment information together they may be scanned in and the electronic copies can be uploaded to the system by the Recruiter. This is at the recruitment department's discretion.

I'm a Recruiter, after the closing date will I continue to receive a pack of forms and applications from Human Resources?

No - all the information you will need for the shortlisting process is available to you in e-Recruitment and so you will not receive anything from Human Resources.

How will panel members know that the candidates are there ready for the selection process to begin?

The Recruiter will send an email, outside e-Recruitment, to the panel members once they are ready for shortlisting to commence.
