
The e-Recruitment Job Requisition has replaced the University's Authority to Recruit process. The purpose of creating and completing a Job Requisition is to supply sufficient information to approve the need to recruit and provide the Department of Finance and Human Resources with the required data to process the recruitment and create/update the position in uBASE.
The Recruiter(s) in each department will create the Job Requisitions and manage the recruitment process. They have received formal training before being provided with access to the e-Recruitment system. The Job Requisition Training Guide can be downloaded via the link on the right of this page.
Business Case: The current process for preparing and approving a business case for recruitment remains unchanged by the implementation of e-Recruitment. It is possible to upload and attach your approved business case document when creating the Job Requisition.
Copy: It is possible to copy a completed Job Requisition when recruiting to a similar post and the majority of the information will be copied to the new Job Requisition.
Saving: You are able to save a partially created Job Requisition and return to complete it at a later date.
Funding Details: You are required to enter the funding details for the vacancy in the Job Requisition. The system will validate the funding codes you have entered, that any allocation across different funding codes adds up to 100% and that the dates you have provided funding details for match the dates you are recruiting for. e-Recruitment will not check the budget on the funding codes and you should continue to do this and liaise with your Finance colleagues before creating the Job Requisition.
Recruitment Group: The Recruiter will allocate a Recruitment Group to the Job Requisition when it is created. This includes all the University staff that need to have access to view, edit, process or approve the Job Requisition for the particular vacancy. The Recruitment Group will also contain the interview panel members who may be added when the Job Requisition is created or at any point following. Attachments: You will continue to complete the About The Job and the About The University documents in MSWord as well as drafting the Advert for the vacancy. You will be required to attach these documents as well as an electronic version of the Risk Assessment Checklist, which is now a stand-alone document, to the Job Requisition before you are able to trigger the approval process. Templates for these documents can be downloaded from the links on the right. You are also able to attach any further information relevant to the approval of the Job Requisition, for example:
- the business case
- evidence that an individual is named on the grant
- details confirming the award of external funding for the vacancy or information regarding the flexibility of funding
Status: The Job Requisition will remain in DRAFT status until the approval process is complete, when the status will change to RELEASED. Once your department have successfully appointed a candidate to the post you should return to the Job Requisition and change the status to CLOSED, to remove it from the list of current Job Requisitions that you and the department's panel members are presented with. It is possible to copy a Closed Job Requisition, if required.
Direct Appointments: A direct appointment, e.g. for a named person on a funding grant, will continue to require the agreement of the Faculty HR Adviser before the recruitment process may commence. A Job Requisition will then be completed by the Recruiter, who will detail the direct appointment in the Note field and will attach electronic evidence to the Job Requisition e.g. letter from funding body naming the person on the research grant. The candidate will be required to complete an application to ensure the University have the necessary information to process the appointment and create the uBASE staff record. Once the application is complete, the recruiting department will complete the Request To Appoint questionnaire within e-Recruitment and the appointment may be processed.
