During Placement

Students who undertake a placement year will remain registered students of the University of Sheffield which will continue to have a duty of care towards them.

It is important to remain in contact with students from your department who are away from the University on placement. Students should also take responsibility for remaining in contact with the University during the year.

Departments must decide upon:

• the most appropriate method of keeping in contact with students who are on placement.
• the regularity with which students are contacted.

Best practice suggestions

• Appoint a designated person within your department who is responsible for the co-ordination of Degrees with Employment Experience. This aids communication between the student and the University of Sheffield.
• By the end of September students should ensure the University has up to date contact details for both their workplace and residential address. A form is available for students to download from either the student section of the Placements webpages or via MOLE. The completed form should be emailed or posted to the designated placement contact in their department.
• If there are any changes to the above details during the course of the year, it should be the responsibility of the student to communicate these changes to the designated contact as soon as possible.
• The easiest method of communicating with students is via email. It is up to individual departments to decide how often they will be in touch with a student but once every 3 months should be the minimum.
• MOLE has a message board and chatroom facility that students can use to keep in touch with friends and classmates from the University of Sheffield who are also on placement. Please speak to the Student Placement Officer if you would be interested in using these facilities as a way of keeping in touch with your students.
• Students are advised of their responsibility to remain in regular contact with the University and reply promptly to any emails, telephone calls or letters they receive from the University.

In the event of an emergency
In the very unlikely event of a serious incident or emergency situation outside of the student´s workplace, they are advised to contact the University of Sheffield's Emergency Control Room on (0044) 114 222 4444.
