The Importance of the correspondence address

"A correspondence address takes precedence over all other types of addresses."

Once you have logged in to your student record you will see a screen like this:

As you can see there are three types of address:

  1. Home address is usually your permanent, or parental address (where you live during the vacation).
  2. Term time address (here known as Sheffield or local address). This is usually the Sheffield address of the house/halls of residence/self catering property where you stay at during term time.
  3. A correspondence address is a temporary address where you need correspondence sending. For example if you are staying in Sheffield during vacation periods or staying with friends but you are not living there permanently.

So to which address do we send letters and documents?
Each address has a start and an end date and the address we send correspondence to depends on these dates and the type of address recorded on your student record.

The basic rules are:

  1. Any correspondence sent to a student during term time is sent to their term time address UNLESS a correspondence address has been defined.
  2. Any correspondence outside term time is sent to the home address UNLESS a correspondence address has been defined.

Therefore a correspondence address takes precedence over all other types of addresses. Therefore, if you define a correspondence address, all University correspondence will go there.

So for example if the following details were on your record:

And we sent your examination results on 15th July 2005 they would go to your home address.
If the following details were on your record:

If we sent you a letter on 15th May 2005 it would go would go to your correspondence address.
If the following details were on your record:

Correspondence 01/05/05

If we sent your registration pack out on 15th May 2005 it would go would go to your correspondence address.

There are a couple of other things you need to remember when changing these addresses:

  1. If you want to create a Correspondence Address you will need to first define it. So you would select option seven and NOT six.
  2. The term time and correspondence addresses are temporary addresses and, where possible, you should enter a start and end date. If you can not put an end date in at the time please make sure that as soon as you know the end date you update your record. The University, therefore, will not then send anything to an incorrect address.
  3. Please enter complete and accurate details as failure to do so may mean you mail goes to the wrong address. Most problems occur when no postal code is entered or the address is spelt wrongly.
