Google Calendar Launch

GoogleappsCiCS will be launching Google Calendar on Monday 25 July.

Oracle Calendar will be removed from service on Friday 22 July and data will be migrated into Google Calendar ready for use on 25 July. From Monday, your University Google Calendar will be available via the myCalendar link in MUSE.

Migrating the data between the two calendar systems is a very complex process. CiCS have been testing the process over the last month and will now be able to migrate nearly all of the calendar data successfully. However, they have discovered that there are a small number of specific circumstances where data is transferred incorrectly or not at all. Therefore, CiCS strongly recommends that you check your calendar after the migration to ensure that all your meetings are in place.

In particular, CiCS have identified the following issues:

  1. Meetings set up on Friday 22 July will not be migrated
  2. Repeating meetings are migrated as a sequence of unrelated individual meetings and sometimes the initial meeting is missing
  3. Some meetings that you've chosen not to attend are migrated as if you will be attending them
  4. Tasks and attachments are not migrated

Following the data migration Oracle Calendar will be reinstated as a read-only service and made available as a right-hand link from the Google Calendar web pages. After clicking on the link you will need to enter your University login and password. To access your Oracle Calendar, go to: www.sheffield.ac.uk/cics/calendar

Oracle Calendar will be available for one month following the migration to allow you to check your Google Calendar data and replace any missing meetings. After this, Oracle Calendar will be removed and all data will be destroyed.

Please note that if you set up meetings in Oracle Calendar after migration they will appear in the calendar but they will not be saved and will disappear overnight.
