Student Records Administration
The Registry and Student Administration Teams are responsible for ensuring that the University has an accurate and up to date set of information for all students (the student record).
Information and guidance for staff is provided from the Student Administration Service webpages. Please note that work is underway to bring these sources together in one sub site of the ALS webpages. In addition, staff can access the student facing information for these topics using the Student Services Information Desk site.
Student information is used by academic deartments and professional and support services, and also ensures that each student has a current view of their progress including marks and any additional achievements through recognised activities for the Higher Education Achievement Report (HEAR). The ALS teams work closely with staff in academic departments to ensure that student records are maintained and accurate.
Student Records start with registration and during the duration of studies associated activities include: collecting and maintaining personal data; selection and loading of modules; changes to module choice i.e. through the 'add-drop' process; record of additional activities and achievements e.g. such as Languages for All, voluntary work, being a student representative, work undertaken on placements and internships, or completing the SURE scheme; attendance information; payment of fees and sharing of information with relevant bodies such as the Student Loans Company or student sponsors; recording assessment and examination outcomes; any changes to study including leave of absence; and final outcomes including degree classification and full transcript with a HEAR.
In addition the team manages:
- the delivery of university examinations including online assessment (working with colleagues in CiCS) and assessments undertaken outside of the main timetabled examination periods.
- the University level procedures for student fitness to practice, student conduct cases and student appeals. They ensure that the processes and associated policies and information are appropriate and in keeping with national guidelines, provide support and guidance to review panels, and make recommendations with respect to any actions or implications arising from cases. Recent developments have included an early resolution pilot with student mediators.
