Account Closure & UCard Expiry

Staff

  • When your current appointment ends, you will receive an email letting you know that your account has been flagged for closure and your UCard is due to expire - you can simply ignore this if you do not wish to take any further action.
  • If you require an extension to your account, authorisation must come from the appropriate Head of Department or their deputy and should be sent to helpdesk@shef.ac.uk
  • Accounts will remain active for two weeks after the appointment end date and will be suspended two weeks later. Four weeks after this, the account will be deleted.

Useful information

Students

  • When your period of study comes to an end, you will be emailed to let you know that your computer account is going to be deleted - you can simply ignore the email if you do not wish to take any further action.
  • Accounts will remain active until after your graduation ceremony and no further extensions can be applied.
  • The expiry date of your UCard is printed on the front. If you believe you need an extension to your UCard expiry date, you should go to the Student Services Information Desk in the Union building.

Associate Staff

  • If you hold an Honorary or Visiting title at the University your computer account and UCard will be disabled when your contract ends and you will receive an email with more details - you can simply ignore this if you do not wish to take any further action
  • Accounts will remain active for two weeks after the appointment end date and will be suspended two weeks later. Four weeks after this, the account will be deleted.
  • If you wish to apply for an extension, you should send a copy of your letter of appointment to CiCS or email an electronic version to helpdesk@shef.ac.uk

Visitors & External Users

Casual workers

  • Accounts for casual workers have a review date set on creation. When this date is reached, you will receive an email letting you know that your account and UCard are due to be disabled.
  • Accounts will remain active for two weeks after the appointment end date and will be suspended two weeks later. Four weeks after this, the account will be deleted.
  • If you wish to request an extension, this needs to be authorised by your University of Sheffield line manager - see here for the Casual workers application form

External Visitors

  • Accounts for external visitors have a review date set on creation. When this date is reached, you will receive an email letting you know that your account and UCard are due to be disabled.
  • Accounts will remain active for two weeks after the appointment end date and will be suspended two weeks later. Four weeks after this, the account will be deleted.
  • If you wish to request an extension, this needs to be authorised by a contractual member of staff - see here for the External Visitors application form

CMS Account

  • If a CMS account is no longer needed please email cms@sheffield.ac.uk to request that it is deleted.
  • This will automatically revoke all access you may have had to the CMS but the content you have created / edited will not be deleted.
  • To transfer the access rights to another member of staff in your Department contact your site co-ordinator

cPanel Account

  • To transfer ownership of a ‘group’ or ‘departmental’ account email cpanel@sheffield.ac.uk with the cPanel username and they will transfer ownership to your nominated contact.
  • It is not possible to transfer ownership of a staff or postgraduate account.
