Room Bookings for NHS Staff

As a staff member of the NHS (Sheffield Teaching Hospitals), acting in a professional capacity, you can book a selection of rooms at the University of Sheffield for free (as long as your event is also free to attend).

Our rooms can be used for teaching, training and meetings.

Please note that all University buildings are currently closed to all those except internal business-critical staff until further notice. Consequently, we cannot accept new room booking requests from NHS Staff.

Due to social distancing measures, we expect room capacities to be reduced.

Please note that we will not open Room Bookings as per usual (first Monday of August), since the University will be finilising its teaching timetable. A new date will be announced on this page as soon as it is decided.

How to book our rooms

If you want to book a room, please send an email to roombookings@sheffield.ac.uk from your NHS email account, with the following information:

  • Requested site
  • Date of the event
  • Start/End times
  • Maximum number of attendees
  • Title of the meeting

If you book a room with us for the first time, we will also need the following information:

  • Your full name
  • Your NHS email address
  • Your phone number

Once we have processed your request, we will send a confirmation email with details of the room booked to your NHS email account.

Please note that we can only process requests whose dates fall during the current Academic Year (running from September until August).
Any request for the following academic year must be submitted from the first Monday in August of the current academic year at the earliest.


Rooms Available to NHS Staff

The rooms that you can book for free are located in three buildings:

  • the Medical School (inside the Hallamshire Hospital);
  • Samuel Fox House (Northern General Hospital);
  • and the School of Clinical Dentistry, also known as the Dental School (located next to the Charles Clifford Dental Hospital).

Unless mentioned, our rooms have got moveable seating, which can be rearranged according to your needs. We only ask that you leave the room in its original state.

AV equipment is available in each of our rooms. It comprises of a PC and a Projector/Screen.

Food and Drinks

The Heritage Room is the only room where you can have catering all year long (provided that the room is cleared at the end of your event).

During term-time, food and drinks are not allowed in any of our teaching spaces under any circumstance.

Outside of term-time (weeks with E or V on this document), foods and drinks are allowed in all our seminar rooms, provided the room is cleared at the end of your event.

You can use the University Catering (gUSto) in the Medical School.


External and Conference Calls

You cannot use the telephone facilities available in our rooms to make external or conference calls, neither are you allowed to bring your own handset to do so. 

The University of Sheffield does not offer conferencing services and cannot provide related equipment in these rooms.


Additional Equipment

We do not provide any additional equipment (such as flip charts, etc.).
