Getting Started - New Staff
Your University IT Account
When you begin working at the University, you will be given:
- A username and password for your University IT account - normally these are organised for you by your department before you start.
- A UCard (University ID card) - normally these are collected in person on campus, but may be sent to your registered home address.
Your IT account gives you access to the majority of the University's online services and facilities including email, calendar and University computers.
Connecting to WiFi
We have extensive WiFi coverage across campus. Eduroam is our main wireless network for staff and students, accessible across campus and in University-owned accommodation.
Accessing online services
MUSE (My University of Sheffield Environment) provides single log-in access to the majority of the University's online services and provides secure access off campus. You can also request access to additional services required for your role.
For small number of university-restricted services you may require a secure VPN (Virtual Private Network) connection for access while working away from campus.
When you log into MUSE for the first time, you'll be prompted to set up multi-factor authentication (see next section).
Multi-factor authentication (MFA)
All University of Sheffield IT accounts are protected by multi-factor authentication (MFA), which provides an extra layer of security.
When you log into MUSE for the first time, you'll be prompted to register a mobile device/smartphone or request a hardware token in order to fully access your account. Simply follow the on screen instructions to complete MFA set up.
If you're not prompted to register a device or, experience difficulties setting up MFA, contact the IT Service Desk (Monday-Friday, 9am-5pm).

Changing your password
Once your IT account and MFA are set up, you must change the default password issued to you with your username.
It's important to choose a strong, unique password and to keep your credentials safe and secure.
Google Mail, Calendar and Drive
The University uses Google Workspace for Education (formerly known as G Suite for Education), offering a wide range of apps and services including email, calendar, storage and collaborative tools. All staff and student accounts include access to Google Workspace.
Access Google applications by logging into MUSE with your university credentials and clicking on the 'My Services' link.
From the My Services menu you'll find quick links to the three most frequently used applications - Google Mail, Calendar and Drive. Click the link for 'View all services' for the full suite of Google applications including Docs, Sheets, Slides and more.
