What is an academic verification?

An academic verification is a document which details the dates of attendance, course of study, and, where applicable, award and degree classification. This document can be provided both for current and former students of The University of Sheffield.

Can you supply character references?

No. We cannot provide character references for current or former students. Enquiries relating to character references, or requests for details regarding hours of study / attendance requirements, should be directed toward the appropriate department.

Who can apply for an academic verification?

The academic verification service is for third parties wishing to verify information pertaining to student attendance and qualifications.

The service should not be used by current or former students. There are official documents that current and former students can order themselves, if they require confirmation of attendance/qualifications, such as confirming letters or results transcripts. What information is required to request an academic verification?

In order for the verification request to be processed as quickly as possible, it is useful if you can provide comprehensive and accurate information relating to the student. Where possible, please provide the following information:

  • Full name of the student
  • Date of birth
  • Dates of study
  • Full title of subject studied
  • Location of study
  • Date of Award

In addition, due to the Data Protection Act, we are unable to confirm any information without a statement of consent bearing the printed name and signature of the student. As a result, you will need to email a scanned copy of signed consent from the student authorising the release of information to a third party. The email address to which this should be sent is academic-verification@sheffield.ac.uk; please include the student’s full name and your order number in the subject line.

How do I apply for an academic qualification?

Commercial organisations

Commercial organisations such as employers, employment agencies, and screening agencies should submit requests for academic verifications through The University of Sheffield’s online store. This can be accessed via the link below:

Once the order has been placed, you will need to forward a scanned copy of signed consent from the student authorising the release of information to a third party. The email address to which this should be sent is academic-verification@sheffield.ac.uk. Please include the student’s full name and your order number in the subject line.

Please note that requests from commercial organisations are subject to a £5 administration fee. This charge applies to each qualification/attendance request placed with the University, regardless of whether it is possible to confirm the student's attendance or whether you can obtain the student's consent for the release of information. Please make sure you have the correct details before making a purchase.

Non-commercial organisations

Non-commercial organisations, such as higher education institutions, local authorities, and UK/overseas governmental bodies are exempt from the £5 administration fee which applies to commercial organisations. Any requests from non-commercial organisations should be sent to the following email address, along with signed consent from the student authorising the release of information to a third party:

How long does it take to produce an academic qualification?

When we have received both the order and the student’s signed consent, we will begin to process the request. This normally takes up to three working days. However, please note that requests may take up to six weeks to process under the following circumstances:

  • We need to query the request due to the provision of incomplete data
  • We need to query the request due to discrepancies between the data provided and our records
  • We need to search the University archives for further information; this situation may occur in cases where the student graduated before 1998

In order to avoid delays with processing your order, please ensure the following:

  • All information submitted on the order form is accurate
  • Payment is provided where required
  • Signed consent from the student is sent to the University
