Meet & Greet 2020

The International Student Support team are really looking forward to welcoming you to Sheffield! We will be operating a Meet & Greet pick-up service from Manchester Airport on selected dates in September and October. You will find information related to the Meet & Greet service on this page with answers to some common questions. Please read the information provided below carefully.

The aim of our Meet & Greet pick-up service is to make your arrival and onward journey to Sheffield as smooth as possible. We understand that arriving in a new country can be a bit overwhelming. Due to the coronavirus (COVID-19) pandemic, the safety of our students and staff is our top priority this year. We are planning our Meet & Greet pick-up service from Manchester airport in adherence to the most up-to-date government guidelines on social distancing. Face coverings (masks) and hand sanitisers will be provided for you to use during the coach journey.

Our Meet & Greet pick-up service will be available to all international and EU students arriving at the Manchester Airport on the following dates: 

  • Sunday 13th September - Sunday 20th September 2020 
  • Sunday 11th October - Sunday 25th October 2020

Our coaches will leave Manchester Airport at 11:00 am, 3:30 pm and 7:00 pm on these dates. When allocating your place on the coach, we will consider the time required (at least 2 hours from your flight arrival time) to clear passport control and luggage collection after your arrival. Therefore, please be aware that if you are arriving at Manchester after 5:00 pm then you may not be able to use this service.

You must book in advance to secure your seat on our coach. If you have not booked a seat in advance, we may not be able to accommodate you on the day as bookings will be prioritised. The charge for the service is £25 for students and £30 for any guests accompanying them. When you book your place on our coach, we will ask you where you are staying in Sheffield. This is so that we can take you to a drop-off location at, or close to, your accommodation in the city. Please note that this may not be possible for everyone and in some cases there might be a short taxi ride after drop-off. However, we will make sure you have full instructions to make the final part of your journey in the city and, if circumstances allow it, someone will be there to give you assistance.

What are the dates for the Meet & Greet pick up service?

Do I need to book to use this service?

Yes, you must book in advance to secure your seat on our Meet & Greet pick-up service. If you have not booked a seat in advance, we may not be able to accommodate you on the day.

Is there a fee to book a place on the Meet & Greet Service?

Yes, the booking fee for our pick-up service is £25 for students. If you have any guests accompanying you (for example family members) then you can book a seat for them for £30 per person.

Please read the detailed description about the arrangements and pick up-service process. You will need to register on the online store as a ‘New Customer’, and you can pay using a debit/credit card or paypal.

Please fill in the details on the online booking form, especially about your travel arrangements, as we will use this information to allocate your seats and confirm your booking.

When will I receive my booking confirmation?

Once you have completed the online booking form, you will receive an automated email to acknowledge your booking. We will then allocate your seat, and a final confirmation with further details and instructions will be emailed to you in due course.

We aim to send out your final confirmation two weeks prior to your date of travel. You will need this confirmation either on your phone or a printed hard copy version before boarding your allocated coach.

Can I request to book my seat on a coach at a specific time?

It is not possible to request a specific coach time. When allocating your seat, we will consider the time required to clear immigration and luggage collection after your arrival. We will use the information provided by you on the booking form to allocate your seat based on your flight arrival time and taking into account the time for immigration clearance and luggage collection.

If I arrive early, can I board an earlier coach?

When allocating students to specific coaches, we must take into consideration the time required for immigration clearance and luggage collection. For this reason, we allow approximately two hours from your arrival time and allocate a coach based on this estimated time.

Unfortunately we cannot allocate you a place on an earlier coach as it is unlikely that you will have cleared immigration within the shorter time frame. However, if you are ready to leave the airport earlier than expected, you can discuss with the staff member to check if you can board an earlier coach. However, this is subject to availability and there is no guarantee that there will be seats available on the earlier coach. You may have to wait at the airport for your allocated coach time.

My travel arrangements have changed, what should I do?

In order to change the travel details included on your original booking for the Meet & Greet pick-up service, you can email us at meet-greet@sheffield.ac.uk. Please ensure that you confirm the following details in your email clearly to avoid any delays in the processing of your request:

  • Full name
  • UCAS/Applicant number
  • Date of arrival
  • Airline name
  • Flight Reference Number
  • Arrival time in the UK

Once you have sent us these details, we will update your booking and send you a new confirmation email confirming your coach time for the Meet & Greet pick-up service.

What should I do if my flight is delayed?

Please email us at meet-greet@sheffield.ac.uk and we will do everything we can to meet your requirements. Don't worry if you are not able to inform us that your flight will be delayed on the day of arrival as we will track your flight and if possible, allocate you a seat on another coach should your flight arrive in Manchester Airport earlier than 19:00. Unfortunately we cannot provide a transfer service for any flights arriving after 19:00; however, we can allow you to board a coach the next day if you wish to stay overnight in accommodation near the airport (this is not provided as part of this service).

What if I am not travelling on one of the dates listed for the Meet & Greet Service?

If you are not arriving at Manchester airport on one of the dates when we are operating the Meet & Greet pick-up service, if you arrive outside of the dates above, or if you would like to travel on your own, you can use the train or coach stations at the airport. The train and coach stations are clearly signposted at the airport. Follow the signs or ask at the information desk.

How do I cancel my booking?

If you would like to cancel your booking then please email us at meet-greet@sheffield.ac.uk. In order to receive a refund on your Meet & Greet booking, please make sure that you contact us before the cancellation deadline.

Cancellation deadline for September arrivals - 7th September 2020 before 23:59 (UK time)

Cancellation deadline for October arrivals - 30th September 2020 before 23:59 (UK time)

Please note that you must include your booking reference number. This is on your original purchase email and begins with SHEF and includes numbers. Once you have sent us your booking reference number, we can begin the process of issuing you with a refund.
