Employer Event booking terms and conditions

“You” or “organisation” means the individual or organisation who submits a booking to attend an event. 

“We”, “us”, “our” or “University” means the University of Sheffield. 

“Event” means any type of individual or multiple employer event including but not limited to: careers fairs, networking events, webinar, presentation, workshop, appointment session, mock interview, skill session, telephone interview, and/or pop-up employer activities.

Bookings

Reservation of space by submission of a booking form is subject to these Terms and Conditions to the exclusion of all other terms and conditions; we are unable to sign any external terms and conditions as these may contradict ours. 

All booking requests must be submitted electronically on Career Connect and are considered provisional until an event booking confirmation email is sent by the University to you. Please note that by submitting your booking form, you are committing your organisation to participate in our event and to pay the agreed fee (if applicable). Please ensure that you have the necessary authority to act on behalf of the organisation.

Submission of a booking form does not guarantee a place; we seek to offer students the most appropriate range of organisations and as such reserve the right to decline a booking to any organisation that we deem unsuitable for the Event. In particular, this will include organisations and/or opportunities which:

  • Promote or endorse illegal activity
  • In our judgement, requires an unreasonable financial outlay by the applicant and/ or require employees to make use of their personal bank account for purchases/sales
  • Are involved in the manufacture of tobacco products
  • Are connected with a ‘pyramid’ , ‘network’ (or similar style) selling scheme
  • Involve writing or reviewing academic course materials
  • Require the taking of medication or other forms of treatment, such as participating in drugs trials
  • Compromise the health and safety of students eg unsupervised 1-1 working
  • Promote salaried positions which do not pay an hourly rate that meets the national minimum wage, unless these are opportunities lasting less than 10 days (70 hours), opportunities which are undertaken as part of an academic course (excluding placement years) (see 2.1) or volunteering* opportunities with charities, not for profit or volunteering organisations
  • Pay a salary or other type of reimbursement / in-kind remuneration which is solely based on results or incentive-based schemes eg commission-based work or the awarding of points which can be exchanged for rewards
  • Are submitted by private individuals
  • Conflict with Foreign and Commonwealth Office travel advice at the time of posting.
Payment

For events where charges apply, all prices exclude VAT.  

Payment must be received prior to the date of the Event using the University’s online store which accepts debit and credit card payments. If you are unable to pay by debit/credit card please contact us.

In the event of an organisation owing money from a previous event, we reserve the right to request immediate payment before accepting your booking.

Cancellation and no shows

1. Cancellation by us
We reserve the right to cancel the Event at our sole discretion at any time prior to the Event date. Where such a cancellation takes place, we will notify you in writing by email as soon as possible.


2. Cancellations by you
If you wish to cancel your reserved space you must notify us immediately by email to employers@sheffield.ac.uk.

For events where charges apply.

Cancellations made by 30 September 2024 will receive a full refund (100%). Cancellations made on or after 1st October 2024 will be charged a cancellation fee of £200 plus VAT.

For events where charges do not apply.

Cancellations made by 30 September 2024 can be made without incurring a cancellation fee.
Cancellations made on or after 1st October 2024 will be charged a cancellation fee of £200 plus VAT.

3. Non attendance
If you do not attend on the day, you will be charged a no show fee of £200 plus VAT.

Virtual events

We will provide a virtual platform that allows organisations to deliver the Event at a scheduled time.  Please note that although the Event will be promoted to students in advance we cannot guarantee attendance by students.

Nature of your business

The University of Sheffield is committed to ensuring that freedom of speech within the law is secured for members of the University and visiting speakers. This is embedded in the Code of Practice relating to meetings. The University of Sheffield is also required to have "due regard to the need to prevent people from being drawn into terrorism"; please refer to the Prevent Duty Guidance for higher education institutions in England and Wales.

You agree not to breach laws relating to hate speech, incitement to or support for violent extremism, and to divulge the nature of your business and the purposes which you seek to promote at the Event in advance of the Event. Failure to comply with such request (whether such failure results from a failure to respond or by submitting an inaccurate or incomplete response) will invalidate the Agreement between the parties made pursuant to these Terms and Conditions.

Register of licensed sponsors

If you appear on the Home Office register of licenced sponsors: workers, we expect our international students to be able to apply to your company in relation to your advertised graduate opportunities.

General

1. We reserve the right to alter the terms and conditions on giving you 14 days written notice of our intention to do so and of the changes that will be made.

2. You may terminate the Agreement made pursuant to these Terms and Conditions by notifying us in writing within 7 days of receiving the notice set out in clause G1 above. If you do not respond within this time-scale you will have been deemed to have accepted the changes to the Terms and Conditions.

3. On termination of the Terms and Conditions in accordance with clause G2 above, we will refund you any monies paid within 30 days of receipt of your notice of termination. You agree that this will be your sole remedy against us for any change made to the Event or any change made to these Terms and Conditions and will be in full and final settlement of such termination to the total exclusion of all other rights, remedies and claims.

DATA PROTECTION

The information you supply to us using this form will be stored electronically in line with GDPR by The University of Sheffield on our CRM, Career Connect, for administration of the Event. 

We will also use this data to notify you of additional events and services at the University of Sheffield; if you do not wish to receive notification of other events and services at the University of Sheffield please let us know so that we can remove your name from our mailing database.
